• Article 6(1)(b) which relates to processing necessary for the performance of a contract.
• Article 6(1)(c) so we can comply with our legal obligations
• Article 6(1)(f) for the purposes of our legitimate interest.

Special Category Data

Where the information we process is special category data, for example your health data, the additional bases for processing that we rely on are:

• Article 9(2)(b) which relates to carrying out our obligations and exercising our rights in employment and the safeguarding of your fundamental rights.

In addition, we rely on the processing condition at Schedule 1 part 1 paragraph 1 of the DPA 2018. This relates to the processing of special category data for employment purposes.

Criminal convictions and offences

We process information when applicable about appointees’ criminal convictions and offences. The lawful basis we rely to process this data are:

• Article 6(1)(b) for the performance of a contract. In addition, we rely on the processing condition at Schedule 1 part 1 paragraph 1 DPA 2018.

Why do we process your data?

The Tristan da Cunha Government collects and uses your personal information for the arrangement and the organisation of our recruitment activities.

Which data do we collect and process?

The personal information collected and further processed is provided on a voluntary basis by the data subject (in this case you) or by an authorised person with the permission/nominated by the data subject.

The type of personal data the Tristan da Cunha Government processes (‘collects’, ‘uses’, ‘retains’, ‘discloses’, ‘disposes of’), consists of:

CV information as provided by you, contact information such as mailing address, email, Skype, WhatsApp, Zoom, Teams, GoToMeeting, etc., bank details, birth certificates, passport and visa information, driving licence, emergency contact information and qualification certificates, etc.

Photos/pictures, presentation, live web streaming and/or audio and video recordings regarding the recruitment activity may be taken or made by relevant personnel.

How long do we keep your data?

The Tristan da Cunha Government only keeps the data for the time necessary to fulfil the purpose of collection.

The personal data of all persons linked to a recruitment activity will be retained for a period of seven years following the conclusion of the contract to allow for historical, statistical, and auditing purposes. Any photos/pictures, presentation, live web streaming and/or audio and video recordings will be treated in the same way. After that period the files will be destroyed.

How do we protect your data?

The Tristan da Cunha Government carefully protects your data from loss, misuse, unauthorised access, disclosure or alteration in line with information governance policies. All data in electronic format (e-mails, documents etc.) are stored on our secure server.

Who has access to your data and to whom is it disclosed?

Access to your data is provided to authorised staff according to the "need to know" principle.

Personal data may also be made available to our partners and beneficiary organisations. When required, access to personal data will also be provided to our appointed internal and external auditors.

No personal data will be transmitted to parties which are outside the recipients mentioned in this privacy statement without the prior consent of the data subject.

Your data protection rights

Under data protection law, you have rights including:

• Your right of access - You have the right to ask us for copies of your personal information If we do hold information about you, we will:

• Provide a description of the data we hold;

• Explain the reasons we are holding the data;

• You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
